Overview

The Project Coordinator will provide strong administrative support to Lowe’s Los Angeles development and project management team. The team is currently focused on pre-development activities for multiple projects in the greater Los Angeles area, including mixed-use and multi-family projects. Working closely with our Project Managers, consultants, vendors, and internal departments, the Project Coordinator ensures that all administrative, financial, and operational processes run efficiently and effectively.  This role presents a unique and wide range of opportunities for this person to utilize their skills and grow their career with a vibrant team.

Responsibilities

General Administrative Support:

  • Meeting and event coordination, calendar management, and coordination of large-scale luncheons for the team
  • Recording and distributing meeting notes, minutes production, agendas and action items, as well as assisting with presentations as needed
  • Document control and maintenance of SharePoint and hard copy project files including project directory, master file index and subcontractor index
  • Manage large printing requests and file organization
  • VP & Executive expense reporting

Project Administrative Support:

  • Support preparation of Consultant/Vendor/Contractor RFQs/RFPs and response tracking
  • New Consultant/Vendor/Contractor onboarding (contract generation and processing, W9, COI, SOV, billing instructions)
  • Contract administration/contract compliance and tracking
  • Consultant/Vendor/Contractor change order generation and processing
  • Drop off/pick up drawings and permits for plan check and permitting
  • Document sharing management to internal and external parties
  • Transmittal processing
  • Reproduction coordination
  • Support coordination with City/Agency/Utility Companies as directed by Project Managers
  • Assist project staff with project closeout responsibilities

Accounting Support:

  • Liaise with accounting team to set up new projects in Yardi and establish cost coding
  • Manage AP invoice approval workflows
  • Monthly draw/funding request process management
  • Budget monitoring and reallocation processing
  • Consultant/Vendor contract SOV reconciliation, payment research, and contract analysis
  • Project cost tracking and analysis
  • Consultant/Vendor COI compliance management
  • Check request processing
  • Fee/Budget forecasting (including budget-to-actual for sub categories)

Project Reporting:

  • Create, update, and maintain reports as required by project team
  • Monthly reporting support, assembly, and distribution
  • COI tracking management
  • RFP/RFQ log management
  • Project Directory/Contacts log management
  • Contracts and Change Orders log management

Qualifications

  • 5+ years of clerical and administrative experience in the construction field
  • Experience in administrative support and coordination for development/construction projects
  • Bachelor’s degree preferred
  • Aptitude with Microsoft programs (Outlook, Word, Excel, PowerPoint)
  • Experience with construction software management program preferred as well as knowledge of basic construction terminology.
  • Experience in Yardi software a plus
  • Ability to work in a fast-paced environment with evolving project timelines
  • Strong organizational skills with the ability to manage multiple assignments and effectively prioritize in a deadline-driven environment
  • Ability to manage high-quality relationships with current and prospective clients and partners
  • Ability to work both independently and as part of a team with superior interpersonal, communication, and team-building skills
  • Must possess a strong work ethic, and problem-solving mentality with a good attention to detail

Compensation: $35.00 - 40.00 per hour, plus annual bonus eligibility.
